Dispatching a long-haul international flight involves a complex set of procedures and the coordination of numerous departments within an airline. Unlike domestic flights, long-haul operations require additional steps and meticulous planning to ensure safety and efficiency.

The process begins with pilot training. Before a long-haul flight departs, pilots undergo extensive training on oceanic procedures, ETOPS regulations, and other operational specifications required by regulators. Airlines provide manuals that include "Ops Specs" and regional route guides for pilots to reference as needed.

As part of pre-flight preparations, maintenance teams perform ETOPS checks on the aircraft. These checks are necessary for flights more than an hour from a suitable airport in case of engine failure. The procedure includes checking hydraulic fluids, engine oil reservoirs, oxygen systems, tire pressures, and more. Only flights between continental Europe and Southern Africa generally do not require these checks due to their routing over land.

Flight dispatchers play a crucial role in preparing for long-haul flights. They begin creating flight plans about three hours before departure. Dispatchers often specialize in specific regions or corridors for extended periods, using software to optimize routes based on factors like ATC preferences, winds aloft, and cost indices. They manually select the best solution considering cost, time, fuel burn, and payload constraints.

Crew briefings occur about 90 minutes before departure, allowing pilots and flight attendants to discuss weather conditions, routing, dispatch notes, and other relevant topics. Depending on airline policies and the nature of the flight, these briefings may take place at different times or locations.

Cabin safety checks by flight attendants are essential before passenger boarding begins. These checks ensure all emergency equipment is functional and meet safety standards. The purser then communicates any issues to the captain so maintenance can address them promptly.

Pilot duties are divided among the crew members based on roles such as flying pilot or relief pilot. Tasks include setting up flight management computers, performing preflight inspections, configuring systems for departure, and coordinating with ground services like catering or maintenance.

As boarding concludes, gate agents finalize seating arrangements according to performance limitations set by dispatchers. They update pilots on passenger numbers before closing the aircraft door from outside.

Once all preparations are complete and passengers are onboarded efficiently by the scheduled time thanks to streamlined processes honed over years by airlines—flights can safely depart toward their destinations across continents or oceans.
